Client Background
We received a call from a corporate event organizer that they want to book luxury group transportation service for a 3-day annual conference. The event was held at the Walter W. Washington Convention Center in Downtown DC. They needed transportation for 320 attendees who were staying in 4 to 5 different hotels.
The primary requirement of the event organizer was that there should be no delay and no attendee has to figure out where to go and how to reach the convention center.
The Problem
The major problem was not the number of attendees but was to pick them from different locations and then take them back to different hotels. The major issue was how to plan pre-event transportation when the attendees are staying in different regions of DC.
Major Concerns
- 320 attendees are staying in different hotels in DC.
- Three days of consistent work to manage the fleet and ensure timely pickups.
- VIP speakers and the guest of the events required separate luxury transportation.
Our Solution
AA Limousine and Sedan started planning the ride. We coordinated with our experienced ride planners, who come up with different solutions to each problem. We divided the plan in steps and then executed it.
- Site Assessment: We begin with visiting different hotels and Walter E. Washington Convention Center to map exact pickups and drop-offs.
- Hotel Grouping: Planners made a list of the 320 passengers with their contact details and then grouped hotels that are near to each other.
- VIP Transportation: We used 2 luxury sedans, one Mercedez-Benz S-Class and the other was a Lincoln Continental.
- Attendee communication: We sent messages and emails to the attendees, guiding them about the pickup location and the vehicle’s arrival time.
Day-of Execution
It started with picking up attendees. Each vehicle was assigned to experienced chauffeurs, and planners provided real-time route conditions while optimizing the routes. The contingency vehicle was kept on standby within 10 minutes of the venue. From the 1st day to the 3rd, all attendees reached the convention center on time.

- No complaint was received by any attendee or from the event organizer.
- 320 delegates were transported across 3 days with zero missed scheduled loops.
